How an engagement runs
  1. Map one workflowWe list the repeated tasks, the tools and where the data lives, then choose the first one to automate.
  2. Build and test on real workI build the first version with you and we test it against real cases before anyone relies on it.
  3. Train your team to own itDocumentation and hands-on training, so the workflow keeps running without me.

Tool subscriptions and usage are billed by the vendors, separately from my fees. Not for you if you want AI to make hiring decisions, replace your team, or promise a guaranteed return. I do not give legal advice or run independent bias audits.

SaaS EZ toolkit

A ready-made starter kit, so a small team does not have to design its AI setup from scratch.

  • 13startups
  • 39%fewer manual processes

Situation

Startups adopting AI needed a repeatable way to begin: shared prompts, automations and ground rules for company data.

What I built

Prompt libraries, automation templates and governance documents, deployed client by client. Alongside it, hands-on Intercom Fin AI rollouts and Claude API training for firms from owner-operated shops to private equity portfolio companies.

Outcome

Teams spent less time on manual work and had written rules for how AI is used. The 39% is reported by the 13 startups using the toolkit.

Role: designed and delivered the toolkit and the training. Tools: Claude, ChatGPT, Intercom Fin AI, Claude API. Client names are not listed on this page.

Fin AI enterprise deployment

I found out why customers kept hitting dead ends, rebuilt the help content, then put an AI chat in front of it.

  • 35%SLA reduction
  • $10M+ARR churn risk reduced
  • <2 moaudit to live

Situation

A knowledge-base gap was leaving Tier 1 questions unresolved. I built the business case from Intercom, Jira, Salesforce and Claude data.

What I built

I pulled the signal sources together, rebuilt the knowledge base with a content audit, rich content and tagging with macros, then launched generative AI live chat with Tier 1 auto-resolution and escalation routing.

Outcome

Customers got faster answers, more questions resolved at Tier 1, and higher CSAT.

Role: product owner; built the case and led the deployment. Tools: Intercom (Fin AI), Jira, Salesforce, Claude. Self-reported, at SeekOut, Aug 2022 to Feb 2026.

Intelligent triage architecture

Every conversation now reaches the right place the first time: self-serve answers for the simple ones, a specialist for the rest.

  • 60%+Tier 1 auto-resolution
  • 40%fewer misrouted tickets
  • <30 minspecialist hand-off, down from hours

Situation

Support queues spanning billing, Claude Code, MCP, Trust and Safety, and Privacy needed smarter routing.

What I built

A redesigned live-agent layer that scores each conversation on billing, usage and intent signals, then routes it to self-serve macros and the knowledge base, tracked iteration in Asana, or the specialist queue. The build included 353 macros and 15 knowledge-base taxonomies.

Outcome

Simple questions resolve themselves, and specialists receive the complex ones faster, with context attached.

Role: technical product owner, contract. Tools: Intercom, Stripe, Hex, Asana, Claude. Self-reported.

Enterprise clients · Identity and access programs

Identity and access management

Employees sign in once, and their access follows them from the first day to the last.

  • 50+SSO implementations and migrations

Situation

Top enterprise companies in technology, health care and defense needed single sign-on and automatic provisioning in place of manual account setup.

What I built

SAML configuration, XML and signing-certificate verification with Okta, and SCIM provisioning so access follows the employee lifecycle. I also led a SQL-to-AWS migration across 81 accounts and 30,000+ users.

Outcome

Customers moved to single sign-on with access that updates as people join, change roles and leave.

Role: led implementation and migration. Tools: Okta, Azure AD, SAML, SCIM. Self-reported.

Efficiency in effect

An illustrative one-page workflow map: quote follow-ups. Not a client deliverable.

  1. A quote goes out by email
  2. You remember to check back
  3. You write each follow-up by hand
  4. You track replies when there is time
  1. A quote goes out by email
  2. AI drafts a follow-up from your past messages
  3. You approve or edit A person decides
  4. The follow-up goes out and the tracker updates

I send about follow-ups a week. Each takes about minutes today, and approving a draft would take about minute.

$

Use what the hour actually costs you: an employee’s wage plus payroll and overhead, or what an hour of your own time is worth. An owner’s hour is usually worth more than a wage.

Your numbers, plain arithmetic: follow-ups a week, times the minutes saved on each, over an average month. It is an illustration of where the time goes, not a forecast, a guarantee or a result I have measured for a client.

“Scott was incredibly helpful when I began building the operational foundation for Coastal Cravings Cookies. I needed a reliable way to organize and maintain my customer data and track important details for future growth. Scott stepped in with his deep technical knowledge and made the entire process smooth and understandable. He helped structure and cultivate the database using SQL so the information stayed clean and accurate as the business grew. He also trained me on how to use Zendesk as a CRM for customer information and showed me how to integrate the systems so everything worked together with less manual effort. His proactive mindset and clear explanations made complex tasks feel easy to learn. What stood out most was Scott’s patience and his ability to adapt to my learning style. He never rushed through anything and always made sure I felt comfortable and confident before moving on. He genuinely cares about helping others succeed and always goes out of his way to make sure you have what you need. Scott is empathetic supportive and exceptionally skilled at teaching both the how and the why behind the tools he uses every day in the SaaS world. I am grateful for the foundation he helped me build and I know any team would be lucky to have Scott working alongside them offering solutions and uplifting everyone around him.”

“What really sets him apart is his ability to balance that technical depth with strong customer intuition. […] That shows in his results, including a consistent 98% CSAT.”

Read the full recommendation

“I’ve had the opportunity to work closely with Scott and can confidently say he’s someone every AI/product enablement team hopes to have, especially in a fast-paced, technical environment. Scott has a natural instinct to jump in and help wherever it’s needed. Whether it’s troubleshooting in Slack or supporting customers directly in Intercom, he doesn’t wait to be assigned work. He actively looks for ways to contribute, often taking on proactive items like SSO/SCIM to help reduce pressure on engineering, all while staying calm, positive, and focused on solutions.

Technically, Scott is strong across the board, from CRM systems to support tooling and enterprise user management. What really sets him apart is his ability to balance that technical depth with strong customer intuition. He knows how to meet customers where they are, explain things clearly, and build trust quickly. That shows in his results, including a consistent 98% CSAT.

He’s also just a genuinely supportive teammate. Scott has a team-first mindset, collaborates easily across functions, and is always willing to share knowledge or step in when things get busy. He’s constantly thinking about how to improve processes and make things more scalable, not just for himself, but for the whole team.

On top of all that, he brings a positive, steady presence that makes a real difference day to day. He’s reliable, adaptable, and always looking to get better, both for the team and for the customers we support.”

Marah GoodwellGlobal Product Support Manager | Enterprise ATS Implementation | Knowledge & Tooling Strategy | SaaS Operations ExcellenceFormer direct report, Enterprise AI · April 2026
Do I need to be technical?

No. We start with one task, described in plain language. I teach the tool as we build, and I write down every step so you can repeat it.

Which AI tool should I start with?

It depends on the task and on the software you already pay for. I compare Claude, ChatGPT, Grok and Gemini on your real work and recommend the simplest fit, even when that is a tool you already own.

Is it safe to put customer or candidate data into AI tools?

Not by default. Free, personal and business plans handle data differently, and defaults change. We check each tool’s data and model-improvement settings together, I write one page of rules, and I recommend a business plan for anything sensitive.

Can AI make hiring decisions for us?

I do not set it up that way. AI can help with sourcing, outreach, scheduling and admin, and a person makes every decision. Hiring AI is regulated in some places, so I coach adoption and design workflows. I do not give legal advice or run independent bias audits.

What does it cost?

I quote a fixed scope after a short call. Tool subscriptions and usage are billed by the vendors, separately from my fees.

Are you affiliated with Anthropic, OpenAI, xAI, HubSpot, Notion or n8n?

No. I am an independent consultant. I was a contract product owner at Anthropic from February to April 2026 and I used several of these tools in past roles, but I am not affiliated with or endorsed by any of them.

Claude
An AI assistant for writing, analysis and building documents. It connects to business apps through connectors and, with Claude Code, can carry out multi-step tasks.
ChatGPT
A general assistant with custom GPTs, research and agent-style features across free and paid business plans.
Grok
xAI’s assistant, available on X, grok.com and an API, with real-time X and web search.
Gemini and Copilot
The natural fit for teams that already live in Google Workspace or Microsoft 365.
n8n
A visual workflow tool with AI agent steps, hosted or self-hosted. Suits teams comfortable with technical setup. Zapier or Make can suit non-technical owners better.
Intercom Fin and Zendesk
Live chat agents that answer customer questions and hand the hard ones to a person with context attached.
HubSpot
CRM with marketing and service tools built in, and AI for drafting and routing. Often the first real system a growing business puts in place.
Notion
Docs, wikis and project tracking in one place, with AI that can search and draft across everything your team has already written.
Figma
Design and whiteboard files a whole team can work in. I use it to map a workflow with you before anyone builds it.
Tableau
Dashboards on your own data. The right tool when the question is what is actually happening, rather than what should we write.
ATS and agentic sourcing
AI that turns a job description into a searched, scored shortlist and drafts outreach. A recruiter approves messages and makes every advance or reject decision.

Last checked October 2026. Plans, models and prices change often, so check each vendor’s own pages. I recommend by task, not by vendor.
